This Privacy Policy explains how EvolveML LLC ("EvolveML," "we," "us," or "our") collects, uses, discloses, and protects information in connection with our software, applications, and services. It applies to visitors of our website and to the organizations and authorized users who use our software and services, including where our software connects to third-party systems on an organization's behalf.
1. Information We Collect
Information you provide
When you contact us or engage our services, we may collect information such as your name, business email address, company name, and the contents of your communications with us.
Customer data processed through our software
When we deliver software and services to an organization, we process business data that the organization provides or authorizes us to access. The nature of this data is defined by the applicable engagement and may include operational, financial, and analytical records used to deliver the contracted functionality.
Data from connected third-party systems
Where an organization authorizes our software to connect to a third-party system (for example, an accounting platform such as QuickBooks Online, or an expense platform), we access data from that system solely to provide the requested functionality. Website usage information
Our website may collect standard technical information such as browser type, device information, and pages visited, to operate and secure the site.
2. How We Use Information
- To provide, operate, maintain, and improve our software and services for the contracting organization.
- To deliver the specific functionality that an organization has requested, including analytics and AI-assisted workflows.
- To communicate with you about your engagement, respond to inquiries, and provide support.
- To secure our software and services and to detect, prevent, and address technical or security issues.
- To comply with legal obligations.
3. Third-Party Integrations and Connected Accounts
This section describes how we handle data accessed from third-party systems that an organization connects to our software, including accounting platforms such as QuickBooks Online and expense platforms.
On behalf of and authorized by the organization. Data accessed from a connected third-party system is accessed on behalf of, and with the authorization of, the connecting organization. It is used only to provide the requested functionality to that organization and its own authorized users.
Read-only where applicable. Where the integration provides read access, we access the data on a read-only basis.
Not sold, not shared, not used to train AI. Data obtained from connected systems is not sold, is not shared with unrelated third parties, and is not used to train artificial intelligence models.
Credentials stored encrypted; access revocable. Access tokens and credentials for connected systems are stored encrypted. The connecting organization can revoke access at any time through the applicable platform or by contacting us; once revoked, we no longer access the connected system.
Retention follows the client's policy; deletion on request. Data retention follows the connecting organization's policy, and data can be deleted on request.
Your use of any third-party system remains subject to that provider's own terms and privacy policy. We are not responsible for the privacy practices of third-party systems themselves.
4. How We Share Information
We do not sell personal information or data accessed from connected systems. We may share information only in the following limited circumstances:
- With service providers who process information on our behalf to help us operate and secure our software and services, under obligations of confidentiality and consistent with this policy.
- With the connecting organization and its authorized users, which is the intended recipient of the functionality we provide.
- Where required by law, regulation, legal process, or governmental request, or to protect the rights, safety, and security of EvolveML, our customers, or others.
- In connection with a business transaction such as a merger or acquisition, subject to the protections described in this policy.
5. Data Retention and Deletion
We retain information for as long as necessary to provide the software and services, to fulfill the purposes described in this policy, and to comply with legal obligations. For data processed on behalf of an organization, including data from connected systems, retention follows the organization's policy. Organizations may request deletion of their data, and we will delete it subject to any legal retention requirements. Upon termination of an engagement or revocation of a connection, access to the relevant data ends.
6. Security
We implement administrative, technical, and organizational measures designed to protect information against unauthorized access, disclosure, alteration, and destruction. These measures include encryption of data in transit and at rest, encrypted storage of access tokens and credentials, access controls, and monitoring. No method of transmission or storage is completely secure, but we work to protect information using commercially reasonable safeguards.
7. Your Choices and Rights
Depending on your location and role, you may have rights regarding your personal information, such as the right to access, correct, or delete it. For data processed on behalf of an organization, requests are generally directed through that organization, which controls the data. We will support organizations in responding to such requests as required by applicable law.
8. International Data
EvolveML is based in the United States, and information we process may be stored and processed in the United States or other locations where we or our service providers operate. We take steps to ensure that information is handled in accordance with this policy wherever it is processed.
9. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, provide additional notice. Your continued use of our website, software, or services after an update constitutes acceptance of the revised policy.
